As firms demand more and more from their technology purchases they are finding interesting ways to leverage existing investments.

One firm that is leading the way is Lewis Silkin. As with many firms their lawyers and key staff are increasingly required to juggle the diverse demands of their clients, cases and business while being outside of the office at courts, offices or client locations. To manage the mobile workforce and the ever increasing amounts of confidential information they decided to standardize their internal technology stack around Microsoft to create a platform for information management. They also needed a security solution that would integrate quickly and easily into SharePoint and Windows Rights Management Services (RMS), as well support the use of BlackBerry’s in order to protect their information no matter where it was.

Workshare solutions provide a nice fit to not only meet their requirements but to allow them to leverage their investments in Microsoft technologies. You can read more about Lewis Silkin leveraging technology in this case study on Workshare.com.

Orrick is another law firm that we see leading the way by looking beyond product features and focusing on leveraging technology to implement cost saving solutions. Using Microsoft® Office SharePoint® Server 2007, Workshare, and IntelliSafe, Orrick created an extranet for document management and collaboration. Orrick has streamlined a highly manual, costly, and time-intensive process to not only save an estimated one million dollars per year, but has gained the ability to add new clients and greatly expand their Structured Finance business. You can learn more about their success by downloading the Orrick case study here.

Leading Firms are moving beyond point solutions and are investing in technology that not only solve real world challenges but leverage their other infrastructure investments. I would love to hear about your success story on leveraging Workshare technology; post a comment below or contact me directly.

Workshare Professional 5.2 SR1 BETA

Over the past 6 months we have spoken to over 400 customers in order to have more direct input into each of our releases. Your input is heavily reflected in the upcoming service release of Workshare Professional 5.2 which has resulted in the following key areas of enhancements for Workshare Professional 5.2 SR1:

Significant performance enhancements to Email, MS Office, Interwoven & Citrix integrations

Smoother & faster installation

Simpler and easier to use

We are currently gearing up for the BETA program for this release so if you are interested in evaluating any of the above improvements to the product and would like to participate in this BETA program, please register your interest here.

This particular customer needed to “package up” all matter related documents into one PDF and send it over to a client before submitting it to the court. They actually already had a master PDF document and simply wanted to add a few more documents to it. No problem!

In Workshare Professional 5 when you are converting documents to PDF you have the option to append other documents to an existing PDF. And you are not limited to adding just documents; you can add any file format to the end of an existing PDF, such as an email or a web page.

In order to merge items into an existing PDF here are the steps to follow:

Open an existing Word document that you’d like to merge into an existing PDF

Choose File-Print, select "Workshare PDF Publisher" as the printer and click OK

In the Save Dialog box, you'll notice a box called "Concatenate". Check this box. Also, browse to an existing PDF file

Open that PDF file and scroll to the bottom

Notice that the text from your Word document is now appended to the end of that PDF. It does not replace any existing text in the PDF but adds to the end of it

Look for more advancement’s to this feature in future versions of Workshare Professional.

Renewed Focus on Product Quality & Customer Experience

As many of you may have learned over the past month, Joe Fantuzzi recently stepped down as Workshare’s CEO. Our board of directors asked me to assume his responsibilities until a permanent replacement has been named, and I am happy to fulfill that request.

I’ve been the services executive at Workshare for over four years which afforded me a unique perspective on your business challenges. Throughout that time, Workshare software has evolved from metadata and document comparison products to the current risk-mitigation solutions that offer document control and content protection. I am keenly aware that our evolution has at times been laborious and challenging for our valued clients and partners.

This communiqué details several actions that I’ve taken over the past month to improve software quality and your interactions with Workshare. I can assure you that these actions are being supported by our worldwide employee base and our board of directors to improve our ability to serve your needs:

Fewer releases, higher quality. We have honed our development lifecycle to achieve this result, therefore you may expect fewer releases per year from Workshare and better results with the ones we do offer.

One product team moving forward. In order to build out new Workshare Protect functionality for our content protection suite, the development team was previously divided into two market units. Now that our Protect components are feature complete and have been integrated into Workshare Professional, the market units have been merged back into one team with a singular focus…Quality! The team is 100% dedicated to delivering a compelling Workshare Professional 5.2 SR1 release next quarter.

Incremental Quality Assurance (QA) resources and new management chain. In addition to added resources, QA has been moved underneath the Customer Support chain of command. While this offers more independence from engineering release pressures, it also moves the testing effort closer to real customer issues being experienced in real customer environments.

New VP of Engineering. A seasoned veteran and senior engineering executive, Tim Carmichael, recently joined Workshare in the London office to lead development efforts of our client-side solutions. We welcome the proven software lifecycle discipline and rigor that he adds to our existing process.

Easier phone access to Sales and Support teams. I’ve authorized a project to upgrade our global phone systems and make it much easier for you to reach the right sales and service people when you need them. This upgrade will be completed by year end.

Increased level of cooperation with technology partners to test interoperability of our respective products and versions. We are working together with partners like Microsoft, InterWoven, OpenText, Worldox, StarLaw, Oracle, K2, LexisNexis, Aderant, Symantec and others to ensure our releases are well tested together before our clients do their own testing.

We’ve worked hard to build strategic solutions for our customers. We trust that these actions, along with many more going on in the background, will boost our ability to serve as a strategic vendor of choice for you moving forward.

As we close on the first quarter of our fiscal year, be assured that Workshare continues to grow and thrive as a business. We’re proud to have been recognized in the recent three analyst reports (Forrester, Gartner and Bloor Research) that all position Workshare squarely within the data leak prevention (DLP) and risk mitigation competitive landscape.

That said, we have not and will not abandon our position as the world’s leading document comparison engine. It remains a cornerstone of our risk mitigation suite of solutions.

In closing, we will continue to manage our growth, refine our operations and improve upon our business…in order to best meet your needs.

On behalf of the worldwide Workshare team, thank you for your patronage and loyalty.

Please feel free to post a comment below or contact me directly with any questions or concerns.

Sincerely,

Workshare received the highest score for the company's installed base and tied for top score for its go-to market strategy.

According to key findings from Thomas Raschke:

"Forrester's selection of Workshare as a strong performer is a reflection of Workshare's approach to preventing data leaks.“

"It (Workshare) benefits from tight integration with Microsoft Office, email applications, and its ability to prevent the loss of metadata and hidden data in documents."

"Workshare Protect is tightly integrated with Microsoft's Rights Management System (RMS); it can automate the process of assigning rights via context-based, content-triggered actions, and supports full disk encryption (FDE) for laptops."

"the only vendor that can clean metadata in documents"

Authored by analyst Nigel Stanley, this report focuses on the continuing changes in the marketplace.

The report highlights Bloor’s belief that data leak prevention solutions detect if confidential data is at risk of leaving an organization’s control, such as via email or on a USB drive. While data loss protection includes encryption to protect sensitive data at endpoints and across the enterprise network, such as on laptops or in email.

More and more they see a common theme with data leak prevention and data loss prevention solutions coming together into one unified solution set. Bloor believes that a complete protection solution must include the ability to prevent data leaks and protect against data loss.

Bloor evaluated multiple data protection products and focused on stability and risk, performance, architecture, fit for purpose, ease of use, support and coverage, and value. Workshare was recognized as a “champion” due to the feature set in the Workshare Unified Content Protection (UCP) Suite™. Bloor also recognized that Workshare actively works with partners such as Utimaco, PGP and Voltage to provide a broader offering.

We are honored by Bloor’s recognition as a “Champion” in Enterprise Data Protection.

Users make multiple copies, cut and paste portions, and forward it to their web email accounts. As the endpoint becomes more mobile the risk to the data on it increases dramatically. The chronicles of data loss are filled with entries on stolen or lost laptops. Knowing the complexity of the data protection issues surrounding the mobile endpoint you can only shake your head in sympathy every time the Veteran’s Administration discloses yet another stolen laptop.

The more mobility the more risk of lost, stolen or misused data. Take the Blackberry for example. This device’s convenience and power are growing with every release. The just released Blackberry Bold will only increase it’s desirability amongst road warriors and corporate execs. The Blackberry has been at the center of several highly publicized data loss incidents. Remember the investment banker that sold his Blackberry on eBay? He neglected to erase it completely and the buyer could see his calls and appointments and contacts: information that could point to potential Merger or Acquisition activity. How about the theft of several Blackberry devices belonging to Whitehouse aids by a Mexican diplomat just weeks ago?

So, do not neglect your Blackberries when scoping out your endpoint security strategy! Assume that all data will end up on them and therefore they should be included in your data protection plans. Encryption, finger printing of data, and rights management are all elements that should be mirrored on mobile devices. With the right tools you can set policy to alert you when someone has just sent your customer list to a competitor, or better yet, block it completely.

We have written a couple of white papers on Blackberry endpoint security that are worth a read. Preventing Sensitive Information Leaks on the BlackBerry Channel is the more technical and describes the Workshare Solution. With workgroups spread across the globe exchanging contracts and managing changes can slow the document review process to a crawl. Current practices for dealing with large purchase agreements, outsourcing arrangements, sales contracts, and lease and licensing contracts can create a litany of problems.

Are you losing opportunities due to contract management inefficiency?

Slow contract turnaround times are often due to manual processes

Paper based documents are hard to manage and hard to find in paper-based archiving

No central storage or consistency in contract templates slows you down

Lack of proper processes and controls affects the process

Are you at risk? Do you lack security?

Missed renewals and liabilities often occur due to out of date or inaccurate contracts

Inconsistent language and sub-optimal contract terms and standard templates is a risk

Accidental leaks of hidden or sensitive information occur in contracts

Are you ready for the cost of legal discovery?

Slow responses to discovery requests affects your bottom line

Lack of automated reporting of contract activity and history is an issue

No search capabilities to find relevant contracts is a problem

There are better ways to track, manage and secure business documents using document control software.

Common contract management software issues:

Slow user adoption

Process redesign inefficiencies

Software training costs

To manage contract lifecycles accurately and cost-effectively, a solution needs to include:

Event management of contract changes: Change control to alert on changes to key contract milestones, terms and conditions

Multi-party parallel review and authoring: Streamlines document review and approval processes and allows for easy contract authoring

Contract lifecycle auditing and reporting: Contract and email activity reporting to refine standard contract templates and to respond fast to legal discovery requests

Policy-enforced content security: Classification and policy-based content analysis and security removes hidden metadata and alerts to sensitive information in order to more easily control who can open, copy, print, or forward information at any stage of the contract lifecycle

Tight integration with Microsoft Office and Document Management Systems: Fast user adoption and reduces process redesign issues as users work with tools they are familiar with

Complete document lifecycle control is not easy, but with effective solutions you can manage contracts efficiently with fewer mistakes and security risks.

Infosecurity Europe 2008

We are excited about the upcoming Infosecurity Europe 2008 conference.

Data loss prevention was a hot topic at the RSA conference last week and with over 4,000 customers using Workshare Protect to secure their data we’re excited to show off our latest features. Our customers want a range of encryption services fronted by central policy and content analysis to protect against data privacy breaches, intellectual property loss, and other disclosures.

We recently announced all-in-one encryption capabilities for the Workshare Protect Premium client, as part of the Workshare Unified Content Protection (UCP) Suite™ 6. Workshare UCP, released in October 2007, is the security industry’s first solution to integrate data leak prevention with mobile data protection – encryption of full disks, network drives, removable drives and file folders plus secure endpoint port controls – no matter what file type or application is used, or where the data is stored.

The Workshare Protect client for DLP/ILP already has 4,000 customers using policy-enforcement to analyze content risk, convert content to appropriate formats, and apply content rights to protect laptops, desktops, mobile devices and network gateways.

The Workshare Protect Crypto endpoint encryption client comes bundled with the Workshare Protect Premium client at no additional charge. It provides safe harbor compliance and mitigates data loss from content stored on laptops, removable media devices, or network drives. Encryption is performed using AES in CBC mode with 256-bit keys.

The Workshare Protect Crypto client offers the following encryption services:

Full disk encryption

Local volume encryption

Network drive encryption

Removable media encryption

File and folder encryption

Password encryption

Integration with email encryption solutions from Workshare Ready Partners such as Cisco/IronPort, Secure Computing, CryptZone, Voltage, PGP and Utimaco

Integrated Windows login with pre-boot authentication and Active Directory integration

Support for Windows Vista, Windows XP and Windows 2000

For organizations that want the full benefit of a centrally controlled system, the Protect Crypto clients can be managed through the Workshare Management System Protect Crypto server. It provides an easy-to-use management console, a single or cluster of management client stations, and includes strong authentication with USB keys or smart cards to protect stations and encrypted data stored on hard disks or disk arrays.

The Workshare Management System Protect Crypto server enables organizations to:

Centralize configuration policy management, client distribution and installation

Centralize password and key recovery for help desk personnel

Support multiple disk images to streamline maintainability

Perform auditing and reporting for safe harbor compliance

Run over NTFS, Novell and other network-based file systems

Bundling endpoint encryption with our DLP/ILP client will purposely commoditize costly encryption solutions available that lack real-time content analysis and control in an integrated package. Our Unified Content Protection Suite is now the one-stop shop to define policies, discover risk, remediate content, audit actions and manage incidents – with or without business user interaction inside applications – at endpoints and over network channels.

> Learn more about our Unified Content Protection Suite

Collaborating with Customers on Extranets, SharePoint 2007, and Deal Rooms

Watch a new webcast on collaboration, security and the challenges organizations face today with deperimeterization.

Collaborating with Customers on Extranets, SharePoint 2007, and Deal Rooms
Learn about the latest technologies to support collaboration, security

Amongst us are over 8,000 customers, 300 channels partners, 30 integration and technology partners and 160 employees.

By end of 2007, Workshare became the leading desktop content security vendor in the world with over 3,800 customers on Workshare Professional or Workshare Protect. More importantly, our customer satisfaction and renewals levels both were at a 90%+ rate, a combination first achieved during 2005 and maintained for three years in a row. To improve on our operational reliability, we invested in a global financial system and opened our first co-location data center.

Innovation output during 2007 increased markedly.
