Simplify Email Collaboration
When a document is created in Microsoft Word, the user has the option to save the document to a Documentum repository rather than a standard file system. In addition, a document may be opened from the Documentum repository, including the ability to browse and open previous versions of a document. Once opened from Documentum, Workshare Professional provides the ability to email the document, including an attachment of a previous version of the document and a PDF rendition.
Document Comparison and Review
Workshare Professional eliminates document version proliferation by maintaining your master document. As email attachments are returned, Workshare Professional automatically opens your original version and identifies changes. The resulting document can be saved back into the Documentum repository. Throughout this review cycle, the overall integrity of the document is ensured as the owner of the document has locked the document against unintended changes by “checking out” the document from documentum.
Document Security
Workshare Professional allows you to set an enterprise wide policy to remove sensitive information when documents are sent by e-mail. Ensure your final documents don’t include hidden comments, Microsoft Word Track Changes, author names or keywords that could present a business risk. Workshare Professional allows this information to be automatically removed from the document before the document is emailed or stored in the Documentum repository, preventing unintentional distribution of information and ensuring that the permanent versions of documents contain only the intended information.
