London, UK, (June 13, 2017): Workshare, the high stakes document company, today announces their matter file security initiative – Protect Everywhere – which is designed to let legal firms apply a consistent policy and a common metadata cleaning engine across email and non-email sharing channels. Complementing this, the company is showcasing Risk Analytics technology that allows Information Security teams to report on compliance.
Protect Everywhere embeds a distribution rules engine at both the desktop (Outlook) and server (Exchange) level. Every matter file shared over email or via browsers is scanned, and the recipient and destination are checked against a policy to confirm they comply with the various outside counsel guidelines. Risk Analytics analyzes the entirety of the firm’s mail flow, identifying breaches of outside counsel policies or firm-specific guidelines in files being shared or uploaded. The Protect Everywhere and Risk Analytics feature sets build on Workshare´s metadata cleaning technology and share the same performance benefits that minimize disruption to the end user. The Risk Analytics feature set has been developed in conjunction with an advisory group of industry leaders.
Highly sensitive matter files are increasingly shared beyond traditional desktop email and move to mobile email, SFT platforms, and cloud-based sharing solutions. Having listened to extensive feedback from Information Security teams it’s become increasingly clear that the needs of the world’s law firms and their clients weren’t being met.
Peter Lesser, Director of Global Technology at Skadden, Arps, Slate, Meagher & Flom commented: “This is clearly a major area of concern for firms and Workshare has worked with us closely to solve the challenges posed by our customers in a pragmatic, yet highly impactful way. With outside counsel guidelines becoming increasingly rigorous in their expectations around the distribution of matter files, our partnership with Workshare has allowed us to meet those expectations.”
Nick Thomson, CRO at Workshare, added: “There’s been much investment by the tech industry to successfully place and enforce access controls on sensitive matter files, however, delivering a realistic solution that worked for legal, preventing policy breaches as files were shared, has remained elusive. Our advisory group, consisting of 10 of the leading legal CIOs, has ensured we’ve been able to evolve and leverage our metadata expertise to address this security gap in a way that balances the need to work pragmatically without changing how fee earners operate.”
Workshare will be showcasing these new technologies at the ILTA LegalSEC Summit in Arlington VA, June 12 through June 14. http://legalsec.iltanet.org/home
